1 Who This Applies To
Level CRM is used by roofing companies ("Account Owners") and the team members they invite ("Users"). This page covers:
- Individual Users — team members with their own Level CRM login who want their personal account and credentials removed.
- Account Owners — company administrators who want their entire company workspace, including all customer and job data, deleted.
If you are a homeowner who received a Customer Portal link from a roofing company, your data is controlled by that company — please contact them directly, or see Section 5.2 of our Privacy Policy.
2 How to Request Deletion
You can request deletion of your account and data in either of the following ways:
Option A — In the App
Open Level CRM → Settings → Legal → Delete My Account, which brings you to this page.
Option B — Email Us
Send a request to privacy@theroofingtoolbox.com from the email address associated with your account, with the subject line "Account Deletion Request". Please include:
- The email address you use to log in to Level CRM
- Your company/workspace name
- Whether you want only your personal login removed, or the entire company workspace deleted (Account Owners only)
3 What Gets Deleted
3.1 Individual User Accounts
- Your login credentials (Firebase Authentication account)
- Your name, email address, and profile picture
- App preferences and notification settings tied to your profile
3.2 Full Company Workspace (Account Owners)
If you are the Account Owner and request deletion of the entire workspace, we additionally delete:
- All customer/homeowner records entered into the CRM
- Job files, inspection and installation photos, and generated documents
- Estimates, proposals, and canvassing data
- Logins for every team member on the workspace
4 What We Retain & Why
- Shared workspace data — if you are one of several Users on a company workspace, deleting your personal login does not delete customer or job data you created; it remains part of the company's account, controlled by the Account Owner.
- Billing & transaction records — retained as required for tax, accounting, and legal compliance, even after account deletion.
- Backups — deleted data may persist in encrypted backups for up to 90 days before being purged, consistent with Section 6 of our Privacy Policy.
5 Processing Time
We confirm receipt of deletion requests within 5 business days. Verified requests are completed — with data deleted or anonymized — within 90 days, except where longer retention is required by law (see Section 4).
